This Privacy Policy explains what information we collect through the Znapie mobile app and web client, how we use it, and the choices doctors and patients have. By using Znapie, you agree to the practices described here.

1. Who this policy covers

Znapie is used by doctors and their clinical staff to manage patient records, treatment plans, schedules, and AI-assisted documentation. This policy covers the doctor’s own account information and the patient health information a doctor enters, uploads, or dictates into Znapie on their patients’ behalf.

2. Information we collect

  • Account information — name, email, mobile number, specialty, and hospital/clinic details provided at sign-up.
  • Patient clinical data entered by the doctor — demographics, diagnoses, treatment history, medications, reports, photographs of physical charts, appointment schedules, and clinical notes (typed or dictated).
  • Uploaded documents and images — scanned or photographed reports, prescriptions, and chemotherapy charts.
  • Usage and device information — app version, device type, and basic activity logs used to keep the service reliable and secure.
  • Billing information — plan, subscription status, and payment references. Card/payment details are handled by our payment processor, not stored by Znapie.

3. How we use this information

  • To provide the core service — storing and organising patient records, and powering the AI features that extract, summarise, and structure clinical data.
  • To operate AI extraction and chat features, which may send document content or a doctor’s message to a third-party AI provider (e.g. Anthropic or OpenAI) strictly to generate the requested output.
  • To communicate with doctors — service notifications, billing reminders, and support responses.
  • To maintain and improve the reliability, security, and performance of Znapie.
  • To meet legal, regulatory, and audit obligations applicable to clinical record-keeping software.

4. How patient data is protected

Patient records in Znapie belong to the treating doctor and their practice. Data is encrypted in transit, and access to a doctor’s patient records is restricted to that doctor’s own account (and any staff accounts they authorise). Znapie does not sell patient data, and does not use patient clinical data to train AI models.

5. Third-party services

Znapie relies on a small number of trusted third parties to operate — cloud hosting, AI providers for document extraction and clinical chat, payment processing, and push notification delivery. Each is used only to the extent needed to provide the relevant feature, under its own data-handling terms.

6. Data retention and deletion

Account and patient data is retained for as long as the doctor’s account is active, and as needed to meet applicable medical record-keeping requirements. A doctor may request deletion of their account and associated data by contacting us — see Contact Us below — subject to any retention obligations we are required to observe.

7. Your choices

Doctors can review, edit, or delete patient records directly within the app. Notification and data-sharing preferences can be managed from Settings. For any request we can’t fulfil directly in the app, reach out via Contact Us.

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the “Last updated” date above, and, where appropriate, communicated in-app.
